Limecraft offers a wide range of reporting services. Unlike the Analytics section that aims to create interactive visual dashboards, reports are usage data in CSV format for further processing.

1. What is Reporting, and how Is it Different from Analytics?


The Analytics and Reporting section accessible via Account Details use similar data about usage and workflows that have been executed, but they have a different purpose. In the 'Reporting' section you can set up different types of reports for further processing. By default, you can select from Production Reports, Clips Reports, Activity Reports, and Workflow Reports, but this can be extended with other types of reports. It is also possible to set up reporting schedules. 


2. Accessing the Reporting Section


Before you begin: only the account admin will have access to these settings. If you wish to change something in the account settings, but don't have the permission to do so, you will need to contact your account admin to administer the changes.

To access the account settings, simply click 'account settings' on Limecraft's top page next to the name of the account are managing, and select 'Reporting' from the menu on the left hand side.

3. Types of Reports

Limecraft offers four built-in types of reports to help you manage your production workflows and optimise resources with confidence. Whether you're tracking usage across productions or auditing activity down to individual items, our standard reports give you actionable insights without the need for manual data crunching.


While the default reports cover most day-to-day needs, our Customer Success team is happy to assist with tailored reports for your specific use case. If you need custom metrics, formats, or filters - just let us know.


3.1 Production Reports

What: The 'Production Report' is an overview of consumable resources, broken down per Workspace or Production.


Who it's for: Producers, commissioning editors, and account managers.


Purpose: Monitor resources consumed during production - Managed Media (labeled 'Volume stored'), Ingested Media (labeled 'ingested volume'), storage use, and subtitling or transcription processing.


Export Format:

  • CSV

  • Filename format: YYYYMMDD.production-name.production-report.csv


Including the following Data and Key Metrics (columns):

  • Id: internal workspace identifier

  • Deleted: date and time when the workspace is deleted (empty if still in operation)

  • Volume Ingested (s): Ingested Media during a given period. This includes specific types of media that are only stored on external storage and therefore may not have a proxy.

  • Items Ingested (#): the number of items ingested during a given period

  • Proxies Created (s): Ingested Media for which Limecraft has created proxies, measured in seconds

  • Volume Stored (s): the volume of Managed Media at the end of the period, measured in seconds

  • Proxy Storage (MB): the volume of proxies at the end of the measurement period, measured in megabytes

  • Cloud Storage (MB): the volume of Cloud Storage at the end of the measurement period, measured in megabytes

  • Data Storage (MB): the volume of Data Storage at the end of the measurement period, measured in megabytes

  • External Storage (MB). Data storage refers to any other storage apart from proxies and high-res media classified as Cloud Storage. Data storage may include, without restriction, stills, PDFs, associated documents, etc.

  • Volume Transcribed (s): the volume of content processed by machine transcription, measured in seconds

  • Volume Translated (s): the volume of content processed by machine translation, measured in seconds

  • Volume Subtitled (s): the volume of content processed by the subtitling engine, measured in seconds


Notes:
- All numbers are rounded integers
- Dates and times are in machine-friendly format
- Includes historical data of deleted workspaces

 

3.2 Clip Reports

Deprecated.


3.3 Workflow Reports

What: A detailed report that lists all automated workflows that have been executed in a given time frame.



Who it's for: Technical producers and support teams


Purpose: Review all automated workflows, their start times, durations, and outcomes. Useful when troubleshooting delivery failures or performance issues.


Export Format:

  • CSV

  • Filename format: YYYYMMDD.production-name.workflow-report.csv


Structure:

  • One line per workflow

  • Includes workflow type, timestamps, outcome, and processing time

  • Allows sorting chronologically or by type


Note: Workflow overviews can also be interactively consulted in the appropriate workspace settings section 'Workflow Overview' 


3.4 Activity Reports

What: A detailed report that contains a report of all measured activity in the account, broken down per Media Object.


Who it's for: Legal reviewers, auditors, and technical account managers


Purpose: The most granular report - every user or system action logged, including logins, uploads, edits, shares, deletions.


Export Format:

  • CSV

  • Filename format: YYYYMMDD.production-name.activity-report.csv


Structure:

  • One line per activity

  • Includes Timestamp, Activity, User Identifier (labeled 'Actor'), MediaObject id

  • Allows sorting chronologically or by type


Common Use Cases:

  • Security auditing

  • Compliance traceability

  • Debugging “who changed what, when?”


4. Manual Report Creation

As a starting point, you can manually create one of the existing types of reports. You can choose the data range you want to have the report for and mail it to yourself or someone else by adding in an email address. Click "Generate and send".


In effect, the reporting engine will create a complete report in CSV format, which will be available on your default download location.

5. Setting up a Reporting Schedule


If you want any of these report coming your way with a given frequency, select "Create new schedule" and a pop-up will appear. Choose the report type, add an email address (optional) and choose the interval (daily, weekly, monthly or yearly).

6. Download Previous Reports

At the bottom of the reporting section, you get an overview of all earlier generated reports.
