Limecraft enables account admins to manage the subscription and usage of the Limecraft components and services directly from the Account Admin Portal. From here, you can view and manage your subscription, monitor usage, and add or modify services. This article explains these features in detail.
Before You Begin
You need Account Admin permissions (minimum) to access the Account Admin Portal.
Accessing the Account Admin Portal
From the workspace overview page, click Account Settings in the upper-right corner to open the Account Portal.

Managing Your Subscription
Navigate to the 'Usage' section by clicking on the 'Usage' tab in the left-hand navigation panel.
The top section of the page provides an overview of your current subscription as well as a forecast of your next invoice.

Subscription Actions
In the upper-right corner of the page, you will find a drop-down menu with available subscription actions. Here you can:
- Upgrade subscription
- Downgrade subscription
- Cancel subscription
- Reactivate subscription
If you cancel your subscription, it will remain active until the end of the current billing period. Your material stays in your account but will not be accessible until you reactivate the subscription. You can log in at any time to reactivate it.
Managing Usage and Overage
To view detailed usage information, click the Usage tab in the left-hand navigation panel. This panel provides an overview of the usage across all main components and services in your Limecraft subscription, including:
- Productions
- Users
- Ingested Media
- Cloud Storage
- Managed Media
- Transcription
- Translation
- Etc
Monitoring Usage
The usage panel displays your current consumption per component, including:
- Actual usage
- Included limit
- Maximum limit

Enterprise customers also have access to an Analytics Dashboard with detailed historical and current usage data. Contact Support or your Account Manager for more information.
Notifications for Overage and Limits
Limecraft provides several built-in notifications to help you manage usage:
- Overage notification: Sent when a component exceeds the included limit and enters the paid overage range.
- Approaching maximum limit: Sent when a component reaches 90% of its maximum limit, giving you time to take action before the service becomes blocked.
These notifications are currently only sent to the account owner email.
Setting Your Own Limits
Account admins can set custom usage limits for each component.
- Click the cogwheel next to the component.
- Set your desired limit.
You will be notified when usage reaches 90% of this custom limit.
Important: Custom limits act as hard limits. When the limit is reached, the component cannot be used until an account admin raises the limit or the billing period resets.
Managing Additional Services
Account owners can activate or adjust additional paid services:
Additional Cloud Storage
Click the cogwheel next to the cloud storage component to select the amount of additional storage you want. This service is charged monthly.

Subtitle Render
You can activate the Subtitle Render service for a monthly fee. Once enabled, it becomes available across all workspaces.
Edge Licences
Account admins can view existing Edge licences. If you need additional licences, contact your Account Manager or Limecraft Support.

Disabling Paid Services
You can disable paid services when needed:
- Turn off transcription or subtitling by disabling the app in workspace settings, or
- Set the component limit to 0 in the component settings.

Managing your subscription and usage through the Account Admin Portal gives you full control over your Limecraft environment. It helps you stay on top of costs, avoid unexpected overages, and ensure your team always has access to the services and capacity they need. By monitoring usage, setting limits, and adjusting services as required, you can keep your account running smoothly and efficiently.
